Yes SUMMARY DESCRIPTION The Camp Administrator supports Camp Chewonki and plays an integral part in supporting the camp program to provide exceptional programming for all Chewonki participants.
This position manages the camp enrollment process and camp's systems, including communication, databases, travel, and year round operations.
They will also support the Camp Director with camper recruitment.
This is a hybrid position and one must be available to work on campus when tasks require onsite attendance leading up to and throughout the camp season.
During the camp season, housing is provided for this position.
ESSENTIAL RESPONSIBILITIES Operations Collect the inventory of and manage storing camp supplies Oversee intake of forms and send reminders to families Assist with program supplies orders In-Season Operations (Summer) Hire, train and supervise summer administrative assistant(s) Assist with the planning, organization and execution of arrival and departure days, camper banquets, and staff celebrations Sort and distribute mail and packages daily; gather and send outgoing camper mail Coordinate the return of lost and found items Provide general office help for directors, administrators, and camp staff Prepare office spaces for camp staff including furniture setup and maintaining supplies Set up summer office spaces and oversee pack up at end of summer Recruitment Assists with the implementation and timing of the annual recruitment and re-enrollment plan Works with families to identify hosting/event opportunities Plans recruiting and retention events - both in-person and virtual Sometimes attends events Ensures camper recruiting events are accessible to the widest possible range of families Part of team with Director communicating with referral agents and manage payments to agencies Coordinate schedule for tours of campus Enrollment (Boys Camp, Girls Camp, and Leadership Expeditions) Monitors enrollment lists, including waitlists and program capacity for Maintains up-to-date enrollment statistics Enters and monitor leads, sends recruitment materials and assists the Director of Camp in communicating with prospective families Manage enrollment process in CampMinder, works with Business Office to execute payment process Supports in management of CampMinder or other CRM systems as needed Maintains the family and enrollment records to ensure content is updated and data is optimized according to best practices Maintain CampMinder and Salesforce records for enrollment, program changes, and other data edits Submits user requests to Data Systems Administrator as needed Ensures each enrolled participant arrives for their program with the full set of necessary documentation Communication Organize and assist with communication needs for all camp programs Answer and direct incoming department calls to the appropriate team member Facilitate the delivery of the camp news/blog Schedule, track, advertise, and do tech for camp webinars and video chats Collect and send family correspondence informational emails, letters to self, participant letters, and first 48 hours emails, birthday cards.
Curate camper directory Travel (Boys Camp, Girls Camp, and Leadership Expeditions) Assist Camp Director with travel logistics and shuttle services for participants and seasonal staff Liaise with parents, staff, and charter services Maintain travel form and prepare fees incurred for billing ADDITIONAL RESPONSIBILITIES Work on the Chewonki campus and share meals with the community (when applicable) Contribute to and collaborate with the Chewonki community through committees and foundation wide events Share the collective responsibility within risk management (physical, behavioral, institutional, etc.

Using sound judgment Operating within your skill set and Chewonki protocols Responding to and/ or alerting the appropriate person(s) when you see something that may compromise safety Work to honor and uphold the principles of diversity, equity, inclusion, and a lens of anti-racism in the best interest of participants, constituents, and staff across the organization A willingness to work as a team member within the camp program and the greater Chewonki community Fulfill all other duties as assigned PREREQUISITES Strong organizational skills Proficiency with Google Workspace Proficiency with CampMinder database (on the job training available) Proficiency with Salesforce Experience working independently and on a hybrid remote schedule Must have a home workspace with internet that supports Zoom meetings and events Must pass criminal background check with the Maine Department of Education Driver's license approved by Chewonki's insurance carrier The Chewonki Foundation requires that 100% of staff are vaccinated against COVID-19, as allowed for by the U.
